Refund Policy
1. General Scope
These Refund Policy terms apply to all ticket purchases, sponsorship packages, and other paid services associated with TOKAS 2025.
2. Delegate Ticket Refunds

Full Refund: Requests made on or before August 31, 2025 will receive a full refund, minus a USD 100 processing fee.

50% Refund: Requests made between September 1 and September 30, 2025 will receive a 50% refund of the ticket price.

No Refund: No refunds will be issued for requests received on or after October 1, 2025.

Substitutions: You may transfer your ticket to another person at any time by notifying us in writing at registration@tokas.io at least 5 days before the Event.
3. Speaker & Exhibitor Fees

Speaker Fees: Speakers who cancel by August 1, 2025, will receive a full refund (minus any costs already incurred). No refunds after August 1, 2025.

Exhibitor Fees:

Cancellations by August 1, 2025: 75% refund (25% deduction covers administration and booth preparation).

Cancellations between August 2 and September 1, 2025: 50% refund.

No refunds after September 1, 2025.

Booth Transfers: You may transfer your booth to another exhibitor within your organization at any time with written notice to exhibitions@tokas.io, subject to organizer approval.

4. Sponsorship Refunds

Pre-Event Cancellations: Sponsorship cancellations by August 1, 2025 will receive a full refund, minus a 15% administrative fee.

Partial Refunds: Sponsorship cancellations between August 2 and September 15, 2025 will receive a 50% refund.

No Refund: No refunds for sponsorship cancellations on or after September 16, 2025.

Package Changes: You may upgrade or downgrade sponsorship tiers up to September 1, 2025, subject to availability. Refunds or additional charges will be calculated based on the difference in package price (minus any administrative fees).
5. Force Majeure
IfTOKAS 2025 is postponed or canceled due to unforeseeable circumstances (e.g., acts of God, government restrictions, natural disasters, pandemics), registrants will receive a full credit toward the rescheduled Event or a full refund, subject to written request within 30 days of cancellation notice.
6. Refund Process
All refund requests must be submitted in writing to alam@vostad.org, including your name, registration ID, and reason for cancellation. Refunds will be processed within 30 days of approval, using the original payment method. Any bank or transaction fees incurred during the refund will be deducted from the refunded amount.
